Glints has been growing at a high-speed and so have their expenses. William Chong, their Finance Head, wanted to avoid using one founder's card for all SaaS and marketing spends. He understood the security risk this method carried, along with the lack of efficiency and control. As such, William was looking for a solution that could address his concerns and provide a consolidated payments platform for all company expenses.
Glints decided to onboard with Spenmo primarily due to three main reasons:
1. Assign Employee Corporate Cards for clear ownership of expenses
Before Spenmo, William faced time-consuming challenges in tracking employee payments through the founder's card, monitoring budget compliance, and reminding employees to upload receipts. This process urgently required improvement.
Spenmo provides designated employees with physical and virtual cards, ensuring clear ownership of expenses. The system includes team and company-level approval processes, pre-assigned budgets for team managers, and automatic receipt notifications for employees.
2. Seamless integration to existing accounting software
Managing accounting had become a cumbersome process for Glints due to multiple manual steps. Initially, data had to be manually input into Xero, followed by uploading corresponding receipts and categorizing expenses according to the company's chart of accounts.
Spenmo simplifies this process by allowing companies to easily customize their chart of accounts within the platform. This enables employees to accurately categorize expenses while uploading receipts. Transaction data, along with receipts and expense ownership, is stored in a list format on the platform.
For a seamless transfer of transaction data to Xero, accountants should start by categorizing expenses for each card. After completing this step, they can monitor the synchronization status of each transaction within Spenmo. As soon as the status changes to "synced," accountants will find the card transactions reconciled in their Xero account.
